Position Purpose
The Associate Registrar for Student Services should understand all aspects of records and registration including transcripts, transfer analysis, advising, and policy enforcement. Responsible for all graduation certification processes and Commencement events. Represent North Central University as the official representative for all PSEO programs both on and off campus. Provide support to the Registrar in the daily functions within the Registrar’s Office.
Responsibilities include but are not limited to:
Manage all graduation processes including student applications, academic certification, conferring students’ final degrees, and facilitation of Commencement:
- Manage and advise students through the process from initial communication to potential graduates through degree certification, evaluating academic requirements, correctly interpreting academic policy and resolving issues as needed including variance requests and academic petitions.
- Manage the Student Information System with regard to graduation clearance.
- Review students’ degree audits and communicate with students and advisors regarding their graduation requirements.
- Serve as a key member on the commencement committee.
Oversee PSEO student advising, reporting, and government relations:
- Act as liaison with the Minnesota Department of Education in seeking tuition reimbursements.
- Process, file and verify accuracy of NOSR forms, receipts, and revenues per student.
- Prepare and monitor reports.
- Lead academic advising, program improvements, and communication with PSEO students, families, and potential new partners.
- Execute academic programming and events (e.g. orientation, department chapels, special events) throughout the year.
Office Supervision:
- Gain familiarity with all staffing roles and responsibilities in the office in order to provide training and support for all roles within the Registrar’s Office.
- Provide customer service as back-up support for the front desk and phones as needed.
- Provide training for new employees as needed to enhance professional abilities.
- Manage the office in absence of Registrar, troubleshooting and resolving issues.
Provide Guidance to Students, Staff, and Faculty on the Procedural Implications of Academic Policies:
- Assist the Registrar with the development and implementation of policy changes and their procedural implications and communicate changes to office staff.
- Assist students, staff, and faculty with questions regarding academic policies, course and program requirements, and other requests.
Provide Support to the Registrar’s Office:
- Assist the Registrar with Registrar projects as needed.
- Support Transfer Credit Specialist with all transfer credit processes ensuring all academic records are accurate and complete.
- Assist with database clean-up and SIS implementation projects.
- Keep abreast of current AACRAO and Department of Education requirements and policies related to accreditation and transfer work, granting of credits and degrees, course structures and grading practices.
- Serve on institutional committees as needed.
Job Qualifications
Minimum Education and experience
- Bachelor’s degree and 2-3 years’ experience in a university Registrar’s Office or related setting with student record experience.
Knowledge, skills, and abilities
- Skill in personnel management for efficiency and effectiveness.
- Must be process-oriented with strong problem-solving and analytical skills.
- Strong written and verbal communication skills required in order to manage detailed information and complex policies.
- Attention to detail with high accuracy in order to manage student records and database information.
- Must be able to multi-task in a fast-paced student-support environment and prioritize workload to manage deadlines.
- Experience with technological resources including a wide variety of computer programs and applications, including but not limited to Microsoft Office software.
- Ability to lift and move up to 30 pounds to manage office supplies and storage material.

- Position involves use of a PC, 10-key and telephone approximately 60% of the workday
